Getting started
Sign in for the first time, protect your account with 2-step codes, set up your profile and find your way around the menu.
Your first sign-in
There is no sign-up page. Your admin creates your user and sends you a one-time invite link, for example on WhatsApp. The link works once, for 72 hours.
- Open the whole link your admin sent. It ends with a long code after #.
- On Set your password, type a password of at least 12 characters in New password, then type it again in Repeat the password.
- Press Set password and sign in.
- If your role must use 2-step codes, the app now asks you to turn them on: see 2-step codes.
- “Invite link incomplete”
- Only part of the link was opened. Copy the full link again, including everything after #.
- “Invite link not valid”
- The link has expired or was already used. Ask your admin for a new one: Settings → Users → ⋯ → New invite link.
- “The two passwords do not match.”
- Type the same password in both fields.
Signing in
- Open your clinic's Avlu address. Avlu runs on your clinic's own server, so the address is your clinic's; your admin or IT gives it to you.
- Type your Email (the one your admin invited) and your Password, then press Sign in.
- If you use 2-step codes, type the 6-digit code from your authenticator app and press Verify.
Forgot your password? There is no reset e-mail: ask an admin for a new invite link, then set a new password with it.
- “Email or password is not correct.”
- Check the e-mail address and the password (Caps Lock). If you are not sure of the password, ask an admin for a new invite link.
- “That code is not valid. Try the newest code.”
- Type the code your authenticator app shows right now.
- “Too many attempts. Wait a few minutes, or ask an admin to unlock your account.”
- Wait, or ask an admin: Settings → Users → ⋯ → Unlock sign-in.
2-step codes
A 2-step code is a 6-digit number from an authenticator app on your phone, for example Google Authenticator, Microsoft Authenticator or 1Password. You type it after your password. By default admins and team leaders must use 2-step codes, because they can see whole teams' conversations; anyone else can turn them on too.
Turn them on
- If your role needs them, the page Turn on 2-step codes opens by itself after you sign in. Otherwise go to Settings → Profile → 2-step codes and press Set up 2-step codes.
- Open your authenticator app and scan the QR code, or type the key shown under it.
- Type the 6-digit code the app shows and press Turn on 2-step codes.
When they are on, your profile says: “On. You enter a code from your authenticator app when you sign in.”
New phone or lost phone
An admin resets your codes in Settings → Users → ⋯ → Reset 2-step codes. At your next sign-in you set up the authenticator app again.
- “That code is not valid. Check the time on your phone and try the newest code.”
- Codes depend on your phone's clock. Set the phone's date and time to automatic, then type the newest code.
Your profile
Open the account menu (your picture in the menu) and choose Profile and security, or go to Settings → Profile.
- Time zone: times in the app are shown in this zone, and the follow-up quick buttons use it too. Left empty, the company's time zone is used.
- Signature: your first name, shown to patients above your messages when the clinic turns signatures on (Avlu WhatsApp).
- Password: type the Current password, then the New password (at least 12 characters) and Repeat new password, and press Change password. It signs you out on your other devices.
- 2-step codes: see above.
- Where you are signed in: every device that is signed in to your account. Sign out any device you do not recognise.
Press Save under You to keep a new time zone or signature.
Finding your way around
The menu on the left shows only the pages your role and your clinic's apps allow. All the pages there can be:
| Menu item | What it is | Needs |
|---|---|---|
| Home | Your work first, then your numbers for today, this week and this month | Every Avlu |
| Inbox | WhatsApp conversations, with My Work (who to contact next) | Avlu WhatsApp |
| Patients | All patient files, as a list or a board by stage | Every Avlu |
| Templates | WhatsApp templates and quick replies | Avlu WhatsApp |
| Follow-ups | Promised calls and messages | Avlu WhatsApp |
| Calls | The dialer: call your patients stage by stage | Avlu Calls |
| Doctor | Treatment plans waiting for the doctor (doctors and admins) | Avlu Treatment Plan |
| Team | Workload per person (team leaders and admins) | Avlu WhatsApp |
| Overview | Team numbers (team leaders and admins) | Every Avlu |
| Reports, Operations, Decisions, Rewards, Leaderboard | The extras your clinic has switched on | Extras |
| Settings | Your profile and, for admins, the clinic's settings | Every Avlu |
On a phone the main pages sit in a bar at the bottom: My Work, Inbox (with Avlu WhatsApp), Patients and More for everything else.
Search
Press Ctrl K to search patients and messages: a name, a phone number in any format, a file number or words from a message. Only conversations you can open are shown.
Your status
In the account menu, choose Online or Away under Status. If your clinic gives new leads only to people who are online, set yourself Online when you start work.
Notifications
The bell opens Notifications. There you can also switch on a desktop alert for when the Avlu tab is in the background; it never shows patient names.
Keyboard shortcuts
Account menu → Keyboard shortcuts, or press ?. Single keys work when you are not typing in a field. The most useful ones:
- Ctrl K: search patients and messages
- G then W: go to My Work · G then I: go to the Inbox · G then F: go to Follow-ups
- R: write a reply · N: switch to a private note · /: quick replies
- Enter: send (Shift + Enter for a new line)
- F: follow-up · S: snooze · A: assign · L: labels · P: priority · E: close the conversation
- Esc: close or clear
Quick guide
Account menu → Quick guide gives a one-page summary in English and Arabic that follows your clinic's apps. It is handy for new team members.
Languages
- The app's screens are in English, and this help uses the same English labels.
- Treatment plan PDFs come in 7 languages: English, French, German, Spanish, Italian, Arabic and Turkish. You choose the language of each plan with Patient language (Avlu Treatment Plan).
- The languages your team writes to patients in are set by the admin in Settings → Company → Clinic → Patient languages.
- The languages each person speaks with patients are set by the admin in Settings → Rotation (Avlu Lead Distribution). New leads go to people who speak the patient's language.
- WhatsApp templates have one language each: pick the template in the patient's language (Avlu WhatsApp).
